The goal of this new feature is to streamline communication within the Vamp platform by allowing brands and media agencies to have discussions at a content level. This eliminates the need for external tools such as emails when discussing internal matters.
How it works:
When viewing a deliverable, you will now see two chat tabs. You can switch between the existing 'Creator Chat’ and the new 'Team Chat’.
There will be a separate Team Chat conversation for each piece of content and product deliverable. For example, if a creator is assigned two pieces of content, there will be three different Team Chats for that creator: two content chats and one product deliverable chat. The current Creator Chat will be staying the same, where there is only one chat per creator that’s shared across all deliverables.
Getting Started with Team Chat:
- Click into the relevant deliverable.
- Invite the relevant stakeholders to the Team Chat by entering in their name. You can send them a customised email message inviting them to join in the conversation. The email will include the link to the Team Chat and your message.
- If they are not already a member of your Vamp Team, your Team Owner will need to add them to the Vamp portal first, before adding them to the relevant Team Chat.
- Everyone who is invited to the Team Chat, including whoever created the brief, should receive daily emails at 9am local time from noreply@vamp.me with a list of unread messages sent in the Team Chat. If the user has actually read the messages, they won’t receive this email.
- You will also see real time updates of new messages under the notification bell icon on the top right of the Vamp dashboard. Messages will be grouped by campaign and a red notification dot will appear when you have new messages in the Team Chat. Once you click into the campaign, the relevant deliverable will have red notification dot that you can double click onto to open the Team Chat and view the messages.
- You can continue to communicate with your team in the Team Chat, and you will also see read receipts. Simply hover over the tick to see the breakdown of who has seen your message.
Team chat read receipt:
Team chat read time stamp:
- Team Chat will close when the Creator Chat closes, which happens once a creator has been paid (usually 45 days from content going live).
Creator & Talent Manager Experience:
- There will be no changes to the creator or talent manager experience. They cannot be invited to Team Chat
- The creator and talent manager will only be able to interact in the Creator Chat
FAQs:
1. Who can I invite into Team Chat?
You can only invite people from your own team.
2. What if I want to chat with someone not in my team?
To chat with someone not in your team, the Team Owner will first need to add them to your team via the Members page in Settings. Once they are added, you can invite them to the relevant chat. Note: As a member of the team, they will be able to see all previous campaigns.
3. Will I receive notifications?
Yes, the creator of the brief and any other stakeholders invited will start receiving notifications and unread message emails as soon as they are invited to the chat.
4. Can I mute or leave a Team Chat conversation?
You can’t mute or leave a Team Chat.
5. If I invite someone to Team Chat, will they automatically be added to all chats?
No, they will only be added to the specific chat for the specific deliverable you invited them to. If they wish to join other chats, they can navigate to the relevant deliverable and view the chat by double clicking on the deliverable, or you can invite them to each chat separately.
6. How do I know who’s seen my messages?
✓ A single grey tick indicates that the message has been sent but not read by anyone
✓✓ A double grey tick indicates that the message has been read by at least one other person in the chat channel but not everyone
✓✓ A double blue tick indicates that everyone in the chat channel has read the message
You can hover over any double tick to see the breakdown of who has seen the message. You can find more information on how read receipts works here.
7. What types of conversations should be had in Team Chat?
Team Chat is designed for internal discussions only - such as campaign planning, creative reviews, approvals, and status updates between your team and media agency. It’s not visible to creators or external partners.
8. Can I share files and links in Team Chat?
Yes, you can upload files and links as per the Creator Chat.
9. What if I accidentally post something in the wrong chat?
We encourage all conversations in both the Team Chat and Creator Chat to remain professional, polite and courteous, whilst also adhering to our best practices. If you send a message in the wrong chat, simply clarify this to the creator/talent manager and ask them to acknowledge this. We are unable to delete messages. You can visit this guide for more details. Otherwise, you can contact our support team if you have further questions on this via the support widget in your team portal:
10. Is Team Chat secure and private?
Absolutely. Team Chat is only visible to users in your specific team portal. Conversations are encrypted and stored securely.
11. Who manages Team Chat access and permissions?
All members in your Vamp team portal have access to all of your team’s campaigns and associated chats. All members can invite other members to the Team Chat within your Vamp team portal. You can see more information here on how to set up multiple teams and your overall organisation structure on Vamp.
